Project Overview
Gannett Company, Inc./USA TODAY built a new 820,000-square-foot, state-of-the-art headquarters in McLean, VA, and relocated 1,600 employees from multiple sites to its new headquarters.
Management Alternatives (M/A) initially focused on the development of a comprehensive and integrated Master Relocation Plan that identified the critical operating issues for the Gannett Headquarters operations and the publishing of the USA TODAY newspaper. Using Operations Questionnaires and selected interviews with key business unit representatives, we identified the critical business drivers and logistical challenges for the project, and developed business contingency and operations transfer plans to ensure a smooth transition to the new headquarters and uninterrupted worldwide publication of the USA TODAY newspaper.
Addressing Every Need
Working closely with key representatives of Gannett and USA TODAY information technology (IT) groups, M/A integrated the Technology Migration Schedules developed by the respective IT groups into the overall Master Relocation Schedule and monitored critical path milestones. We tracked installation of satellite farms, microwaves, satellite uplinks and the new Maryland Operations Center.
In preparation for the move, M/A conducted multiple purge campaigns to eliminate or reduce unnecessary electronic and hard-copy files. We developed a tailored Move Coordinator program in cooperation with facilities and information technology representatives. Through this program and the participation of operating unit Move Coordinators, M/A managed the detailed logistics planning necessary for this six-phase relocation. To keep Move Coordinators and all Gannett/USA TODAY personnel informed, M/A established an electronic Move Hotline for receiving and responding to questions posed by client personnel.
M/A prepared and issued RFPs for qualified vendors to provide moving services, file refurbishment services, surplus furniture disposition services and technology disconnect/reconnect services. We evaluated vendor responses, made recommendations, assisted with contract negotiations and coordinated vendor activities.
We staffed and supervised each phase of the relocation, coordinating all move-related vendor activity. M/A staffed a Post-Move Welcome Desk for 1 week following each move phase to address and resolve all move-related issues and assist Gannett and USA TODAY personnel with settling into their new facility. We resolved all move-related claims, approved all move-related vendor invoices for payment and closed out each move phase.
M/A coordinated the removal of surplus furnishings and the close-down of the existing spaces.
