    Project Overview
    The Brookings Institution renovated its headquarters, temporarily relocating their offices to adjacent swing space during this eight-phase construction effort. Management Alternatives (M/A) provided Relocation Planning and Move Coordination Services to Brookings for this logistically complex renovation project.

    M/A developed a comprehensive Relocation Plan with special emphasis on minimizing disruption to Brookings Scholars and their colleagues. All move activity occurred during evening and weekend hours. Because the work of the Scholars was highly paper-intensive, M/A put special systems in place to ensure a seamless transition of papers and collections to the swing space and back into the newly renovated, permanent space.

    Managing Multiple Activity, Achieving A Positive Outcome
    To meet the challenge of managing multiple moves out of existing space and back into the newly renovated space with minimal disruption to the Brookings Scholars, M/A developed and implemented a detailed Occupancy Plan that included relocation tasks and key construction completion dates for each phase. We utilized our proprietary Asset Tracking Database (ATD) to track the location of furniture, equipment and personal effects throughout the multiple moves.

    We formed a Move Committee of representatives from each department and met with them regularly to gather information and educate staff on specific responsibilities throughout the move process.

    M/A developed a communications program to keep Brookings personnel current on the status of the renovation project. The program included Town Hall Meetings with Scholars, Move Bulletins, Pre-Move Briefings and a Relocation Handbook.

    M/A developed a mover RFP, evaluated the responses, and assisted with contract negotiations. For each move phase, we provided an on-site team to supervise the physical move.

    M/A staffed a Post-Move Welcome Desk the Monday following each move weekend to help Brookings personnel quickly adjust to their new space. We worked with vendors to resolve move claims and managed the disposition of surplus furniture.
